Instead of just futilely bouncing ideas around in my head, I could just ask:

Does there exist a check list of tasks for establishing a small, one-day con?

I have no suggestions, just wondering what kind of con.

If it's just one day it must be a short con.

Just a little white van speaker con.

And do you realize how tough it is to move loudspeakers to the current generation? Look, I've just got to get these off my hands, you can have them for less than what I paid.

Not that I know of, but I suspect I know people who might know. Will ask them and if I receive a useful answer, forward it to you.

If there is, I'd like to find one because I'm pretty sure it's close to running a one day SCA non-fighting event.

- what are you charging for membership?
- how many people do you expect to attend? (I'm presuming 100)
- plan on pre-registration if possible
- how much money does that give you to buy stuff?
- where can you afford to hold it?

Anticipate needing two function rooms, one for 25-50 people and one for 50-100 people, plus a hospitality suite. Small filk cons usually use the back of the big room for vendors and charity auction.

Consider what type of food you want to have in the hospitality suite and how much of your budget can go to that.

Where are your members coming from? If non-local, do they need help finding a place to stay?

Who will be running programming? Are there evening events planned?

Will you have a lunch break? Dinner break? Where will people go to eat?

Really, the first thing to do is to decide what you really want to have participants doing at the con and about how many people you want. You might look at Foolscap: http://www.foolscap.org/ It's a small Seattle-area literary con that is focused on getting a bunch of people together to chat for a weekend. Some of it is structured, some isn't. I haven't ever attended - I've had minor and not so minor medical emergencies when I've registered.

Do you want structured discussions? lounging area? serve food or beverages? Or maybe you have a location in mind, which will then determine your available options.

There's also the matter of seed money. And probably legal liability.

You also want someone who understands hotel contracts. It is amazing what a difference it can make to not have ice in your contract or to find out that you must pay corkage or to find you must use the hotel catering to provide x meals to be served in a specific function space.
